Its published approximate processing period is 15 working days after it receives all required documents, excluding delivery, and SAPS also warns that a backlog may extend waiting times. The certificate is not normally sent to applicants as a scanned email attachment; collection by the applicant or an authorised person or courier must be arranged. How to apply for a South African Police Clearance Certificate from Australia, the UK, Canada or another country: (1) Check the receiving authority’s required certificate age and any Apostille or Authentication requirement. (2) Arrange original fingerprints with an accepted local police service or South African mission. (3) Prepare identification, previous-name evidence where relevant, the application details and government payment. (4) Arrange delivery of the original paperwork to South Africa, then collection and return of the issued PCC. Check current SAPS instructions before sending documents. A return trip to South Africa solely for fingerprint capture is not normally necessary if your overseas fingerprints meet SAPS requirements.

One common application problem is a mismatch between a person's current identification and earlier names. SAPS asks applicants to mention any maiden surname or other surname that must appear on the Police Clearance Certificate and to include documentary proof, for example an appropriate marriage document. Check the spelling and order of all names against the certified identification and application before the original fingerprint set is submitted.
If you have changed your surname after marriage, divorce or another official event, ask the receiving authority whether your earlier name must be reflected on the PCC and which supporting document it requires. Do not omit a relevant name merely because it no longer appears on your current passport. Where your records differ, clarify the issue before submission instead of assuming an Apostille will correct it.
An Apostille verifies the origin of a qualifying public document; it does not amend the name, identity or criminal-record information printed by SAPS.

A Police Clearance Certificate, often shortened to SAPS PCC, is the official certificate normally requested for immigration, visas, overseas employment and similar checks. SAPS also describes a Police Clearance Report, or PCR, for people who need confirmation of their criminal status in connection with expungement. These are different services, and a local report should not be treated as an automatic substitute for a PCC requested by a foreign authority.
Ask the organisation receiving your paperwork for the exact document name and its age requirements. Some institutions require a freshly issued Police Clearance even when you still hold an older certificate. The receiving authority, rather than a private provider, decides what it will accept. If you have already applied, keep your SAPS enquiry number and verify the case through the official status service.

Before ordering a South African PCC for a UK, Australian, Canadian or other overseas application, confirm four things with the recipient: how recent the certificate must be, whether earlier surnames must appear, whether it needs Apostille or Authentication, and whether an original must be delivered. These decisions affect the application, courier arrangements and sequence of work. Do not wait until the PCC is issued to discover that a separate legalisation step is required.

SAPS currently publishes an approximate 15-working-day finalisation period after complete receipt, but its own backlog notice warns of longer waits.
