Can You Use the Same South African Apostille in More Than One Country?
If you are applying for immigration, citizenship, residency, employment or another international process in more than one country, you may wonder whether you need to Apostille your South African documents again each time.
The short answer is that an Apostille is not normally issued only for one specific destination country.
If your South African document has been correctly Apostilled and the countries where you want to use it are parties to the Hague Apostille Convention, the same Apostilled document may potentially be recognised in those countries.
However, there is an important difference between whether the Apostille itself is valid and whether the receiving authority will accept the underlying document.
What Does an Apostille Actually Do?
An Apostille authenticates the origin of a public document.
It confirms matters such as the authenticity of the signature, the capacity in which the person signing the document acted and the identity of the official seal or stamp.
It does not confirm that every country or organisation will accept the contents of the underlying document for every purpose.
The Hague Apostille Convention was created to simplify the use of public documents between participating countries.
Instead of requiring a lengthy chain of embassy legalisation, a single Apostille can authenticate the origin of the document.
Can the Same Apostille Be Used in Different Hague Convention Countries?
Potentially, yes.
A correctly issued South African Apostille is intended for use in countries where the Hague Apostille Convention applies between South Africa and the destination country.
For example, if you obtained an Apostille on a South African Unabridged Birth Certificate for one overseas application, the Apostille itself does not automatically stop being valid simply because you later want to present the document in another Hague Convention country.
However, the second authority still has the right to determine whether the underlying birth certificate meets its particular application requirements.
This is where many people become confused.
The Apostille may still be valid, while the document attached to it may no longer meet the receiving authority's requirements.
Why Might the Same Apostilled Document Not Be Accepted?
Different authorities can have different rules regarding the underlying document.
They may require:
A recently issued document
A specific type of certificate
An original document
A full or Unabridged Birth Certificate
A Police Clearance Certificate issued within a certain period
A certified translation
A different supporting document
A document issued specifically for the application concerned
For this reason, you should never assume that because an Apostille was accepted by one organisation it will automatically satisfy another organisation's complete document requirements.
What About an Unabridged Birth Certificate?
Birth certificates are one of the most common South African documents submitted for Apostille.
They are frequently required for:
Immigration
Citizenship by descent
Foreign passport applications
Residency
Marriage abroad
Family applications
Proof of parentage
If your Unabridged Birth Certificate has already been Apostilled, you may be able to use the same Apostilled original for another Hague Convention country.
However, the receiving authority may require a recently issued birth certificate.
If that authority considers your existing certificate too old, you may need to obtain a new Unabridged Birth Certificate and Apostille the new document.

What About a South African Police Clearance Certificate?
Police Clearance Certificates require more careful planning because they are time-sensitive.
A Police Clearance Certificate records your criminal record status at a particular point in time.
For immigration and visa applications, foreign authorities commonly impose their own validity periods for police clearances.
In addition, DIRCO currently states that original Police Clearance Certificates submitted to its Legalisation Section must not be older than six months.
This means that even if the Apostille attached to an older Police Clearance remains authentic, the Police Clearance itself may be too old for your new application.
Always check the requirements of the authority requesting the Police Clearance before relying on one obtained for an earlier application.
Does an Apostille Expire?
An Apostille does not normally have a simple expiry date in the same way as a passport.
However, this does not mean that the document attached to it will always be accepted indefinitely.
The receiving authority may impose a validity period on the underlying document.
This is particularly important for documents such as:
Police Clearance Certificates
Letters of No Impediment
Certain medical certificates
Recently issued civil documents requested by immigration authorities
So the better question is often not:
"Has my Apostille expired?"
but:
"Will the authority accept the document attached to my Apostille?"
Can I Remove an Apostille and Attach It to Another Document?
No.
An Apostille is issued for a specific document or authenticated document set.
It should not be removed and transferred to another certificate.
If you obtain a newly issued Unabridged Birth Certificate or Police Clearance Certificate, the Apostille attached to your previous document cannot simply be moved to the new document.
The new document would need to follow the appropriate Apostille process.
What if an Authority Keeps My Original Document?
This is another important consideration when using the same Apostille for multiple applications.
Some organisations inspect an original Apostilled document and return it.
Others may retain the document as part of an application.
If you need the same type of document for several simultaneous applications, confirm whether each authority requires its own original.
You may need more than one original certificate or more than one Apostilled document set.
Do not send your only original Apostilled document away until you understand whether it will be returned.
Can I Use an Apostille Issued for Australia in the UK?
An Apostille itself is not generally labelled as being exclusively for Australia, the UK or another individual Hague Convention destination.
The important question is whether the Apostille Convention applies between South Africa and the country where the document is being presented.
Both Australia and the United Kingdom participate in the Apostille Convention.
However, the organisation receiving your document may still have its own requirements regarding:
How recently the document was issued
Whether the original is required
Which version of the document is required
Whether additional translations or supporting documents are needed
Therefore, confirm the application requirements before sending the same document to a second authority.
What if the Second Country Is Not Part of the Hague Apostille Convention?
This is different.
An Apostille is designed for use under the Hague Apostille Convention.
If your South African document will be used in a country where the Convention does not apply, the document may require a different authentication and legalisation process.
DIRCO explains that South African public documents intended for non-Apostille countries may require a Certificate of Authentication instead of an Apostille, potentially followed by additional embassy or consular legalisation.
Do not obtain an Apostille without first checking which process applies to the destination country.

For countries where the Hague Apostille Convention applies:
The appropriate South African authority may issue an Apostille.
For countries where the Convention does not apply:
A Certificate of Authentication and further legalisation may be required.

How Do I Know Whether My Existing Apostille Can Be Reused?
Before ordering another Apostille, check three things.
First:
Is the destination country part of the Hague Apostille Convention and does the Convention apply between that country and South Africa?
Second:
Does the organisation accept the type and age of the document you already have?
Third:
Will you still have possession of the original Apostilled document when you need it for the second application?
If all three answers are yes, you may not necessarily need to obtain a completely new document and Apostille.
However, always follow the instructions of the authority receiving the document.
